This privacy notice aims to give you information on how we collect and process your personal data through your use of this website, including any data you provide when you fill in one of our contact forms. This website is not intended for children and we do not knowingly collect data relating to children.

This website may include links to third-party websites, plug-ins and applications. Clicking those links or enabling those connections may allow third parties to collect or share data about you. We do not control these websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy notice of every website you visit.

Personal data means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you, grouped as follows:

• Identity data: first name, last name, company name.
• Contact data: email address, telephone number, social media links.

When you sign up as a member of The Padel Directory we will ask you for your location (town, county, region) to serve the primary functionality of the player directory. We will not ask for, or share, your personal address information. Members can opt out of appearing on the directory and only share information they would like to be public.

We do not collect any special categories of personal data about you (race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, health, genetic and biometric data), nor any information about criminal convictions and offences.

Your safety and security are fundamental to us. We use the following software to keep your data secure: Webflow (our website content management system), Outseta (our membership platform provider) and Stripe (our membership payment gateway).

If you choose not to provide personal data, we may not be able to perform the contract we have or are trying to enter into with you. In this case we may have to cancel a product or service you have with us, but we will notify you at the time.

You may give us your identity and contact details when you:

• Become a member of The Padel Directory
• Fill in one of our website's contact forms
• Enter into a contract for us to provide goods and services
• Request marketing or information to be sent to you

We will only use your personal data when the law allows us to, most commonly where:

• Performance of contract: processing is necessary for a contract you are party to, or to take steps at your request before entering into one.
• Legitimate interest: enabling us to give you the best service and the most secure experience. We balance any potential impact on you and your rights before processing on this basis.
• Legal obligation: processing is necessary for compliance with a legal or regulatory obligation we are subject to.

With your consent, when you become a member we will add you to a public database of padel players. Your public listing may display your name, your padel experience level, your local padel centre, your location (town or region) and contact links (Playtomic, Padel Mates, MATCHi, Instagram, LinkedIn) if provided.

We may use your identity and contact data to add you to our marketing list where you have expressed interest in receiving future advice, guides and content by ticking the consent box on one of our forms.

You can ask us or third parties to stop sending you marketing messages at any time by following the opt-out links on any marketing message, or by emailing ben@thepadeldirectory.co.uk. Opting out does not apply to personal data provided as a result of a service purchase or other transaction.

You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. If you disable or refuse cookies, some parts of this website may become inaccessible or not function properly.

What we do with cookie information: we measure who has visited what page, when and for how long, so we can identify how well we are doing and how we can improve.

What we don't do: we do not use cookies for advertising, contacting anyone directly, or sharing information with third parties.

Cookies are small text files that help us and other websites understand user requirements better, making sites more responsive and effective. We follow guidance published by the ICC, the UK International Chamber of Commerce. Your browser allows cookies by default; you can change this setting at any time — see your browser help.

If we need to use your personal data for another purpose, we will notify you and explain the legal basis which allows us to do so. We may process your personal data without your knowledge or consent where this is required or permitted by law.

Third parties in a business transfer: parties to whom we may choose to sell, transfer or merge parts of our business or assets, or businesses we acquire or merge with. If a change happens to our business, the new owners may use your personal data in the same way as set out in this notice.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow third-party service providers to use your personal data for their own purposes and only permit them to process it on our instructions.

We do not transfer your personal data outside of the EEA.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to your personal data to employees, agents, contractors and other third parties who have a business need to know, and they are subject to a duty of confidentiality. We have procedures to deal with any suspected personal data breach and will notify you and any applicable regulator where we are legally required to do so.

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including satisfying any legal, accounting or reporting requirements. To determine the appropriate retention period we consider the amount, nature and sensitivity of the data, the potential risk of harm from unauthorised use or disclosure, the purposes of processing, whether those purposes can be achieved by other means, and applicable legal requirements.

Unless subject to an exemption under data protection laws, you have the following rights with respect to your personal data:

• The right to request a copy of the personal data which we hold about you
• The right to request that we correct any personal data found to be inaccurate or out of date
• The right to request your personal data is erased where it is no longer necessary to retain it
• The right to withdraw your consent to processing at any time, where consent was the lawful basis
• The right to data portability, where processing is based on consent or is necessary for our contract with you, or where we process your data by automated means
• The right to request a restriction on further processing where there is a dispute about accuracy or processing
• The right to object to our processing, where applicable, including direct marketing

To exercise any of these rights, contact our data representative at ben@thepadeldirectory.co.uk. You will not have to pay a fee, though we may charge a reasonable admin fee if your request is clearly unfounded, repetitive or excessive, or refuse to comply with your request in those circumstances.
